About the National Portal

The portal is the association’s system of record. Activities, minutes, reports, correspondence and financial documentation are filed here as they happen, so that each term hands over an account of its work rather than a folder of whatever survived.

What is public, and what is not

The archive holds 1 documents. 0 of them are published here. The rest are internal or restricted, and the difference is enforced on every query the portal runs — not by leaving them off a page.

Public

Published reports, announcements and the association's own governing documents. Readable by anyone, including search engines. Downloaded without signing in.

Internal

Activity documentation, minutes, committee correspondence. Readable by members holding the relevant role, within the committee it belongs to. Every download is logged against the account that made it.

Restricted

Financial records, complaint files, disciplinary material. Readable by a small set of national officers. Opening one writes an audit entry — in these modules, who looked matters as much as who changed something.

How records are protected
  • Official records are locked.Once filed into a folder that holds official records, a document cannot be replaced or removed. A correction is a superseding document, so the earlier version stays readable.
  • Replacement is versioning.Uploading a new file creates a new version rather than overwriting the old one, so “what did this say last term” stays answerable.
  • Deletion is never destruction.Removing a record hides it; the row, its access log and anything referencing it remain.
  • Terms are frozen when they close.Closing a term freezes its participation scores and makes its records immutable, so the figures a selection decision was made on cannot move afterwards.
How decisions are made
  • Participation scores are computed, not assigned.They follow published rules applied to approved, attended activities, and every point carries an entry naming the rule that produced it.
  • Administrative measures are never automatic. Falling below the documentation threshold surfaces a committee for follow-up. It does not penalise one. A measure is proposed by a person and has no force until separately confirmed by an officer holding that authority, with a written basis.
  • Measures can be appealed.A confirmed measure carries an appeal window, and an appeal is decided with recorded reasoning.
  • Everything consequential is logged.Who uploaded, edited, approved, rejected, viewed restricted material, changed a scoring rule, imposed a measure or changed a permission — each is an append-only audit entry.

For members

Accounts are created by the association, not by self-registration — the portal holds real member records, and an account is issued against one. If you are a member and have no account, ask your Local Secretary General.
